Dv Archive is a per-configured derivative of the Data viewer Total Document Management (Dv TDM) parent application distributed by Practical Programs, Inc. (PPI). It is intended to serve those who desire a strong functional document management tool and also achieve a rapid smooth startup (without all the advanced features). All of the basic functions and features required to manage documents through their complete life cycle are contained within this simple to use Dv Archive package.

Dv Archive (like Dv TDM) can be acquired and utilized in a small local desktop, network server or web accessible environment. Additionally it can be accessed and/or utilized via one of PPI’s data hosted service center sites. These varieties of access and installation options provide each client with the ability to make the optimum selection to suit their needs and requirements. Installation is easy and there is minimal additional configuration required.

Dv Archive is primarily intended to serve those clients who are not yet certain of their long term document management objectives. It provides a fast and easy means of addressing areas of your business where your documentation has run amok. It provides a quick means of regaining control of all forms of business information. Once installed, a client can very quickly regroup their critical business information and documentation into a central document repository. Search, retrieval and document control/security is easy using the standard features of the application.

It is not uncommon for clients within a short period of time to see the enormous benefits of Dv Archive and want to expand it into other areas of their business. Dv Archive can be configured beyond the initial configuration in order to meet the expanding needs of an organization such as expanding it to be utilized across multiple departments, divisions and companies. In some instances the extent of that expansion may lend itself to upgrading onto the full version of Dv TDM. If this option is selected it is a very simple process to upgrade from Dv Archive onto PPI’s full feature Dv TDM Product.

The successful incorporation of document management tools into any organization involves a number of factors. The primary factors are highlighted as follows:

Legacy documents – this is be made up of both active and inactive existing documents that are in any number of formats and presently reside in any number of physical locations. Proper evaluation of your legacy documents (quantity, condition, size etc.) and your organizations retrieval and retention policies regarding these is critical in the determination of the appropriate process and procedures as you move into this new technology.

Real-time documents – this refers to new information coming into your organization that needs to be captured and properly placed and classified into the document management system. Proper evaluation of the various document groupings, their timing of introduction into the system, the types of tasks and/or events that may be required throughout their forward life cycle while in the system etc. are critical in order to maximize the use of this new technology.

System Configuration – this refer to the state at which the document management system is set to function. Proper configuration (for your organization needs) ensures that all aspects of the document life cycle can be achieved with minimal impact to the user community.

System Environment – this refers to the physical location of the hardware, software, database, and actual document files managed by the document management system. Dv Archive is highly configurable to operate under a variety of data configurations.

Business Process re-engineering – when new technologies are introduced into an organization it impacts both the procedural and behavioral aspects of the organization. This requires a reassessment of the business processes impacted by these new elements of change and systematic methodologies to effect positive procedural and behavioral results.

The significance of any one of the above elements is dependant upon the specific requirements and objectives of the organization. PPI is a total solutions provider with professional resources available to assist organizations in addressing solutions to any of the above elements.
