
Transmittal Management
Dv TDM with its new Transmittal Database addresses the problematic area of Document Distribution. It provides accurate answers to questions like:
- Was the document sent to the client?
- Which version of the document was sent?
- Which consultants and subcontractors have received the document?
- Do we need to advise any other interested parties about the new document?
Dv TDM achieves this by keeping an integrated database of all transmittals.
This includes recording the recipients contact details.
Creating a Transmittal
With Dv TDM creating a document transmittal is as simple as:
- Search for the documents you which to distribute.
- Click on Create Transmittal and select the recipient(s).
- Choose if you want the transmittal printed or emailed with the documents.
The appearance of the transmittal report can be customized in keeping with your corporate image.
Version Report
Dv TDM allows you to select a recipient and see which documents they have been sent and what version. Next to the version column is a list of the current versions along with the status of the document for example, Approved or Pending Approval. You can then tag which of the documents you wish to re-issue. Now simply click print or email and your recipient will be updated and so will the transmittal database. You can also filter the versions to only show those that have been approved.
Version Update Notes
Version Update Notes or Revision Notes created on documents can be linked and automatically transferred onto the Transmittal Documents. This gives instant clarification to the recipient of what changes were made without the need for you to duplicate your work.
Multiple Recipients
Dv TDM also assists in the situation where documents might have been sent to multiple recipients. You are able to select a document or group of documents and see who received them and what version they received. You can also tag a set of documents and distribute them to multiple recipients.
With Dv TDM you can now accurately answer any inquires as to whether a document has been sent, which version, who the recipient was and what the current approved version is including updated revision notes.
